Primary Objectives:

MedicAlert Foundation Canada (MAFCA) is seeking a detail-oriented and motivated Summer Student to support our operational excellence efforts by improving process clarity, documentation, and workflow efficiency. Our mission—to protect Canadians by providing life-saving medical information to first responders—relies on strong, consistent processes across departments. The Summer Student will work with teams across the organization to map current workflows, document key business processes, and support improvements that enhance member service, operational efficiency, and organizational alignment.

This role is ideal for students interested in operations, business processes, healthcare services, quality improvement, or non-profit administration.

Duties & Responsibilities:

Key responsibilities include:

Process Mapping & Workflow Analysis
  • Work with Member Services, Operations, Programs, IT, and Administrative teams to understand and map current workflows.
  • Conduct interviews, shadow staff, and review existing documentation to gather accurate information.
  • Develop clear and professional process maps (flowcharts, swim lane diagrams, etc.) representing current-state workflows.
  • Identify bottlenecks, inefficiencies, and improvement opportunities that impact service delivery or data management.
  • Support the creation of future-state workflows that align with MAFCA’s operational priorities. 

    Documentation & Knowledge Management
  • Develop or update standard operating procedures (SOPs), procedural guides, and internal documentation. 
  • Ensure documentation is clear, consistent, and aligned with MedicAlert terminology and standards.
  • Improve organization and accessibility of internal documentation across shared drives or knowledge platforms.
  • Support the development of documentation templates and standards for the Operations Department.

    Collaboration & Communication
  • Validate process maps and documentation through collaboration with operational subject matter experts.
  • Present draft materials and incorporate feedback from Operations and cross-functional teams.
  • Support communication of workflow changes or documentation updates to staff. 

    General Administrative & Project Support
  • Track documentation progress and maintain version control.
  • Assist with small operational improvement projects as directed by the Operations Department.
  • Provide general support to help strengthen organizational efficiency and member experience.
  • Broader work or accountabilities may be assigned as needed

Job Requirements:

  • To apply for this job, you must:

    • Be aged between 15 and 30 years old on the start date of the job;
    • Have a valid Social Insurance Number (SIN); and
    • Be a Canadian citizen, a permanent resident of Canada, or a person who has been granted refugee status in Canada.
